AllChinaBuy Spreadsheet

Step 1: Create Your Spreadsheet

Open Google Sheets in your browser and create a new blank spreadsheet. Name it clearly—something like "AllChinaBuy Orders 2026" so you can find it easily in your Google Drive. Resist the temptation to use a template yet. Building from scratch teaches you the structure.

In cell A1, type "Item Name". In B1, type "Seller". In C1, type "Price (USD)". Continue across the first row with these headers: Agent Fee, Shipping Cost, Total Cost, Order Date, Status, QC Photos, and Notes. These nine columns form the backbone of your tracking system.

Step 2: Add Your First Order

Click cell A2 and type the exact name of an item you have ordered or plan to order. Be specific. "Nike Dunk Low Panda" is better than "sneakers" because specificity makes searching possible later. In B2, enter the seller name exactly as it appears on their store page.

For the price column, enter only the item cost in US dollars. Do not include agent fees or shipping yet. Those belong in separate columns because combining them hides the true cost structure. Enter today's date in the Order Date column using the format MM/DD/YYYY.

  • Item Name: Be specific and consistent with naming
  • Seller: Copy the exact name from the store page
  • Price: Item cost only, in USD
  • Agent Fee: Usually a percentage of item cost
  • Shipping: Estimate if not yet known, update later
  • Total Cost: Use a SUM formula to auto-calculate
  • Order Date: Use a consistent date format
  • Status: Use dropdown values like Ordered, Shipped, Delivered

Step 3: Format for Readability

Select the header row and apply bold formatting. Freeze the first row so headers remain visible when scrolling through many orders. This is done through View > Freeze > 1 Row in Google Sheets.

Apply conditional formatting to the Status column. Make "Delivered" appear green, "Shipped" appear yellow, and "Ordered" appear blue. This color coding lets you scan dozens of rows and instantly understand your order pipeline.

Step 4: Add Formulas

In the Total Cost column, enter a formula that adds Price + Agent Fee + Shipping. For row 2, this would be =C2+D2+E2. Drag this formula down the column so every new row automatically calculates totals.

Add a SUM formula at the bottom of the Total Cost column. This running total shows your lifetime spending, which is sobering but essential for budget management. Most buyers underestimate their total replica spending by thirty percent or more until they see this number.

Step 5: Maintain and Update

Update your spreadsheet immediately after any status change. When you receive QC photos, paste the link into the QC Photos column and change status to "QC Received." When the item ships, update the status and add tracking information to the Notes column.

Set a weekly reminder on your phone to review the sheet. This five-minute habit prevents orders from slipping through the cracks and builds the data history that makes your spreadsheet valuable over time.
